Payment Recovery Automation & Digitisation for a Real Estate Developer
A real estate developer was managing plot bookings and payments across multiple scattered Excel sheets, with no visibility into overdue payments and no consistent buyer follow-up. AscentiQ AI digitized every sheet into a single real-time dashboard and automated the reminder process through SMS, WhatsApp, and AI voice calls.

Industry: Real Estate
Client: A mid-sized real estate developer managing multiple residential projects.
Product: IntoPilot™ — Real Estate Edition
The Challenge
The client was tracking plot bookings, installment schedules, and payment collections manually across multiple scattered Excel sheets — one per project, updated inconsistently by different staff members, with no way to see the full picture in one place.
This created recurring problems:
- No visibility into overdue payments — staff found out a buyer had missed an installment only when someone manually cross-checked the sheet, often weeks late.
- Inconsistent follow-up — reminders to buyers depended on which staff member remembered to call, with no fixed cadence or escalation path.
- No single source of truth — plot value, amount paid, balance due, and next due date lived in different tabs, updated by hand, prone to error.
- Manual staff effort — recovery calls and reminders consumed significant staff hours that could have gone into sales and client relationships.
The client wanted two things: a way to automatically nudge buyers before and after a due date — across SMS, WhatsApp, and voice — without staff having to track it manually, and a single dashboard that replaced every scattered Excel sheet with real-time, per-plot payment status.
The Solution
AscentiQ AI built a Payment Recovery Automation module inside a dedicated real estate operations dashboard, consolidating every scattered spreadsheet and giving the client’s team a live view of every buyer’s plot, payment status, and recovery stage in one place.
- Digitized Payment Tracking: Every plot booking, across every project spreadsheet the client was maintaining, was migrated into a single structured dashboard showing, per client: total plot value, amount paid to date, balance due, and the next due date with days overdue — replacing manual sheet lookups with an instant, always-current view.
- Automated Reminder & Escalation Timeline — SMS, WhatsApp & AI Voice Call: Instead of ad-hoc follow-ups, each overdue payment now moves through a fixed, time-based escalation sequence: a grace period, followed by an automated SMS reminder, then a WhatsApp reminder, then an AI-driven voice call — before finally routing to a staff member for personal follow-up if the payment is still unresolved. The exact timing at each stage was tuned to the client’s collection policy.
- Centralized Payment History: Every payment received against a plot — date, amount, mode, and remarks — is logged against that client’s record, giving the sales and accounts teams a single, auditable trail instead of reconciling data across multiple spreadsheets.
- Staff-in-the-loop Controls: Automated reminders reduce manual workload, but staff retain full control — with the ability to trigger a reminder on demand, or step in and call the client directly when a case needs a human touch.
Results at a Glance
| Metric | Before | After |
|---|---|---|
| Time to first follow-up on an overdue installment | Days to weeks, dependent on staff noticing | Same-day, automatic from Day 1 of the grace period |
| Reminder consistency across clients | Ad-hoc, staff-dependent | 100% of overdue cases follow the same escalation path |
| Staff hours spent on routine reminder calls | High — every reminder made manually | Reduced significantly; staff only step in at final escalation |
| Payment status visibility | Manual Excel lookup, often stale | Real-time, per-plot dashboard |
| Source of truth for payment history | Fragmented across multiple spreadsheets | Single, auditable record per client |
| Follow-up channels used | Phone calls only, at staff’s discretion | SMS, WhatsApp, and AI voice call — automatically sequenced |
Impact
- Manual tracking eliminated — payment status for every plot is now visible in real time, with no dependency on someone updating an Excel sheet.
- Consistent recovery process — every overdue payment follows the same structured escalation path, regardless of which staff member is handling it.
- Reduced staff hours on manual follow-up — routine reminders now happen automatically, freeing the team to focus on cases that genuinely need a personal call.
- Improved collection discipline — buyers receive timely, consistent reminders starting from day one of an overdue installment, rather than sporadic follow-up.
- Faster recovery cycle — automated escalation from grace period through to staff involvement means overdue payments are addressed within days, not weeks.
